Welcome to Members

 The mission of our guild is to promote the art of quilting while encouraging quilters of any skill level, and to facilitate learning, improvement of skills and techniques in a safe learning environment. We do this through continuous education, sharing of ideas and the inspiration we receive from each other.

Meeting dates & location: Keswick Ridge Quilters (KRQ) meets the second Monday of each month from September to June (Holidays included). The meetings begin at 6:30p.m. (doors open at 6). Our current location is the Cally Ann Complex, 180 McKeen Drive, Keswick Ridge NB E6L 1N9.

Greeters welcome members at meetings for sign-in and to pass out any necessary information and should be at the meeting at least 30 minutes prior to commencement. The meeting attendance book is kept in the library. Meetings consist of announcements, program (a work project, a guest speaker, etc.), break, business (Committee reports) and show-and-tell. Show-and-tell is an opportunity for members to display a finished project(s) or one(s) in progress.

Cancellation of meetings: Should it become necessary to cancel a regularly scheduled general meeting (weather, etc.), the meeting will be automatically rescheduled to the following Monday subject to site availability. The decision to cancel a meeting will be made by the Executive. Members will be notified via email by mid-afternoon on the day of the meeting.

Membership: There are no special criteria to join. All those interested in quilting are welcome to become regular members. Members in good standing are those that are current with their dues.

Life Members are those who have reached the age of eighty. They are no longer required to pay yearly dues and may participate in meetings, (including Christmas, potlucks, etc.), register items for shows and participate in workshops for the same fee as regular members.

Junior Members are those who are still enrolled in school. They are not required to pay membership dues until after graduation of high school and may participate in meetings, (including Christmas, potlucks, etc.), register items for shows, and participate in workshops for the same fee as regular members.

Membership dues: The membership fee is $25/year – July to June. Membership dues for the coming year may be paid at the May and June meetings. The deadline for payment of dues is at the October meeting. The fee for new members joining after February 1st will be $10 for the remainder of the year.

Guests: Guests are welcome, but a maximum of 2 visits please. New members are always welcome.

General Information: If you have any comments or concerns, please contact a member of the Executive.

Guidelines

1. Definitions:

a) Term shall be defined as one year.

b) Year shall be defined from July to June for the purpose of membership dues and committee positions.

c) Executive shall be defined as consisting of the President, Vice-President, Treasurer and Secretary.

d) Board shall be defined as the Executive and Committee Chairs.

e) A quorum shall be defined as fifty percent of members plus one. It may be necessary to conduct a vote by email in the event a quorum is not present at the meeting. A quorum will be required whenever it is necessary to vote on a decision.

2. Terms of Office:

a) Secretary – two terms

b) Treasurer – two terms (Note: Secretary and Treasurer terms end on alternate years)

c) Vice President – total of two terms: one term as Vice-President, followed by one term as President.

d) President – total of two terms: one term as President, followed by one term as Past President.

e) Chairs of Committees – one term, unless otherwise stated; chairs may renew for one more term.

 3.  After serving in any of the above elected positions, it is recommended that a member sit out for at least one year before accepting another elected position. This is to encourage committee participation by as many members as possible.

4. Membership dues will be reviewed annually.

5. Membership dues for the coming year may be paid at the May and June meetings. The deadline for payment of dues is at the October meeting.

6. The Executive may approve an expense to a maximum of one hundred dollars ($100.00) without consulting with the membership.

7. Elections take place yearly at the May meeting, with reminders going out at the previous (April) meeting.

Job Descriptions for Executive

Only members in good standing may hold positions in Keswick Ridge Quilters. (Membership dues are paid in full by the October meeting or new members that have paid for the remainder of the year).

President

• Chairs monthly meetings;

• Calls and chairs executive meetings;

• Represents the guild at public functions;

• Helps to resolve any differences and ensures that policies of the guild are followed;

• Has the ability and willingness to delegate responsibilities and to encourage new ideas while involving all members;

• Maintains relevant documents to pass on to the next president.

• Holds one of three keys to the mailbox located at 86 Route 616, beside the Keswick Ridge Community Hall. The mailbox is Module 8, Compartment 16.

• A one-term position.

• The Executive and Committee Chairs constitute the Board.


Vice-President

• Assumes the president’s responsibilities in the absence of the president;

• Assumes the position of president the following year and leads special projects as assigned;

• Chairs the Nominating Committee.

• A one-term position.

• The Executive and Committee Chairs constitute the Board.


Treasurer

• Maintains the guild’s financial records;

• Collects and deposits all monies paid to the guild and pays out funds as needed;

• Provides financial reports at monthly and executive meetings and leads the budgeting process;

• Reimburses committee members for guild expenditures (receipts required).

• A two-term position.

• The Secretary and Treasurer terms end on alternate years.

• The Executive and Committee Chairs constitute the Board.

• At the end of each year, a written report of activities are to be submitted.


Secretary

• Records monthly and executive meeting minutes and distributes to membership;

• Handles guild correspondence (internal and external);

• Sends all occasion cards when appropriate;

• Maintains records of guild happenings;

• Holds a key for the mailbox located at 86 Route 616, Keswick Ridge beside the Keswick Ridge Community Hall. The mailbox is module 8, compartment 16.

• A two-term position.

• The Secretary and Treasurer terms end on alternate years.

• The Executive and Committee Chairs constitute the Board.


Job Descriptions for Committee Chairs

Program Committee

• Ensures that a program of up to forty-five minutes is scheduled for each monthly meeting;

• Makes arrangements with any speakers and introduces as well as thanks the speaker at the end of the program.

• Consists of a minimum of two members, including the committee chair.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for Program Committee

• Compensation of $75 is provided to the presenter to help cover the cost of travel and any necessary materials.

• Presenters from outside the greater Fredericton area will be compensated for mileage at a rate of $0.50 per kilometer.

• A member of the Program Committee will introduce the presenter and thank them at the end of the program.


 Workshops and Sew Days Committee

• Plans workshops and sew days for the year, based on the interests of guild members;

• Arranges for instructors, handouts, ensures necessary equipment is available, etc.;

• Coordinates with Facility Committee to ensure that a location is secured.

• Provides information to members on upcoming workshops;

• Collects fees and gives the money (with paperwork) to the treasurer;

• Surveys the members regarding future workshops;

• Consists of a chair and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for Workshops & Sew Days

Workshops & Workdays are from 9 a.m. to 4 p.m. unless otherwise stated.

1. Sew Days:

• you bring your own projects: everyone works on different items/projects

• you can work in the company of others: no structure

• others can help if requested

• cost: $5.00 per day paid on the day of the Sew Day.

• may be used as a venue for community projects (no fee)

2. Workshops:

• specific project/technique for all participants.

• someone will lead/teach the project.

• at the end of the day you will have completed a project or will have the means (patterns, tools) to complete the project at home.

• cost: $10.00 plus cost of teacher plus cost of pattern. Money will be collected at meetings before the workshop.

• Workshop fee of $10 is refundable however if an instructor has been brought in with a workshop fee over and above it will be non-refundable.

• An instructor receives a $75 honorarium for doing the workshop.

3. You need to bring:

• sewing machine / equipment

• mat, rulers, cutters, scissors, etc. (others will share with you if you forget)

• lunch

• Each project will have different fabric requirements. This information will be passed out at the meeting preceding the workshop.


Membership Committee

• Keeps an updated list of members, phone numbers, mailing and e-mail addresses, and provides Executive, Committee Chairs and members with said list;

• Collects membership fees and issues receipts and membership cards.

• Th e use of e - transfer is an option for payment o f dues .

• Consists of a chair and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for Membership Committee

Facility Committee

• Ensures that a suitable facility is available and made ready for meetings, special events, etc.

• Solicits volunteers at the September meeting by circulating a “greeter’s roster”. Volunteers are asked to be at the facility at least 30 minutes before the meeting starts.

• Schedules and arranges appropriate meeting space;

• Ensures that the space is unlocked, heated and tables and chairs set up.

• Ensures space is tidied after each event.

• Ensures attendance book is returned to the library.

• Holds a key for the mailbox located at 86 Route 616, Keswick Ridge beside the Keswick Ridge Community Hall. The mailbox is module 8, compartment 16.

• Consists of a chair and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for Facility Committee

• Responsible for the safe keeping of the key to the hall as given by the Hall Committee.

•  Ensures that the Treasurer has an invoice for the hall rental for the monthly meetings that includes the amount of $50.00.

• Ensures that they are aware of the checklists and guidelines for the hall which are posted.

• Cancellation of meetings: Should it become necessary to cancel regularly scheduled general meetings (weather, etc), the meeting will be automatically rescheduled to the following Monday subject to site availability. The decision to cancel a meeting will be made by the Executive. Members will be notified via email by mid afternoon on the day of the meeting.


Library Committee

• Maintains the collection of books, patterns, magazines, etc;

• Updates library as appropriate and keeps a master list of the collection;

• Tracks lending of books to members and issues reminders.

• Consists of a chair and one other member.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for the Library Committee

• The library committee receives an annual (Sept – June) budget of $300 to purchase new books and materials required to operate the library.

• The library committee has the permission to purge the materials in the library and donate or sell the items.

• When a new book or magazine is purchased, the receipt is given to the Treasurer at the next meeting.


Fat Quarter Committee

• Purchases fat quarters and sells tickets on them at each meeting;

• Profits from the sale of fat quarters are part of our general operating funds which are used, in part, to support community causes at the discretion of the members.

• The number of prizes drawn is at the discretion of the coordinator.

• If the person assigned to the task isn’t able to attend a meeting they are to make arrangements with another member to cover for them.

• The Fat Quarter Committee has a budget of $25/month or $250 annually.

• Consists of two members and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.


Communications and Blog

• Monitors the Guild email (krquilters@gmail.com) for messages that need to be forwarded to members such as upcoming events at other Guilds, notices of payment of dues, etc.

• Creates/maintains electronic records and photos of events, guild information, etc. and posts on the blog. Note that members should only be referred to by their first name or first name and initial (if two have same first name) in blog posts. The only blog document using full names is the list of executive and committee chairs.

• Members may send photos and/or write ups on articles they wish to have posted on the blog.

• The blog address is https://keswickridgequilters.blogspot.com.

• Consists of the chair and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

 At the end of each year, each committee submits a written report of its activities.


Comfort Quilts and Community Projects

• Suggests projects to the guild and organizes the creation of quilted projects by members.

• Provides comfort quilts to individuals in need;

• Assists groups in raising funds for worthwhile projects.

• Has an annual budget of $800 (estimate).

• Consists of the chair and any others deemed necessary.

• Committees are one-year terms but may be renewed for a second term.

• Committee positions will be filled at the May meeting.

• At the end of each year, each committee submits a written report of its activities.

Guidelines for Comfort Quilts

The following points will guide the distribution of comfort quilts:

• A Comfort Quilt may be requested by any member of the Keswick Ridge Quilters (KRQ) group.

• Comfort Quilts will be donated on a ‘first come, first serve’ basis. In other words, requests will be filled as quilts become available, assuming that the reason for the request has not changed.

• Comfort quilts will generally not be given to an individual on more than one occasion.

• Those eligible to receive a Comfort Quilt may include family members, neighbours, friends or acquaintances of KRQ members. More generally, a quilt may be donated to a particular family or person in a community affected by fire or natural disaster.

• Comfort Quilts may also be donated to service/charitable organizations or other community groups based on decisions made by the general membership.

• Reasons for the donation of a Comfort Quilt may include serious or prolonged illness/disability, loss of home due to fire, flood, etc. or other difficult circumstances.

• An annual report of comfort quilts made and donated will be prepared and presented to the KRQ Executive and general membership.

 

Quilt Show Committee

• Organizes and leads the guild’s quilt show, usually held every second year, as determined by the guild;

• Works with a committee of guild members who arrange for location, date and registration of quilts, volunteers to staff the show, publicity, food, etc;

• Consists of the chair and any others deemed necessary.

• At the end of each year, each committee submits a written report of its activities. 

Guidelines for the Quilt Show Committee

• The Quilt Show committee has a budget that is carried over from the previous quilt show and whose records are maintained by the Treasurer of that committee.


Facebook Page Administrator

• Established to share information with members of KRQ who are on Facebook to share information.

• Monitor the friend requests on our Keswick Ridge Quilters Facebook page;

• Share meeting reminders on a monthly basis;

• Share workshop and sew day information when scheduled;

• Ensure that all friend requests have answered the questions;

• Ensure that any spam is removed immediately or when alerted to such by a member of the Facebook page;

• Not part of the executive or board.

• At the end of each year, each committee submits a written report of its activities.


Nametag Draw Committee

• Ensure that there are slips of paper for the members attending the meeting to put their name on;

• Maintain all nametag slips for the year so as to make a year-end draw at the June meeting;

• Purchase or make small gifts for the winner;

• If the person assigned to the task isn’t able to attend a meeting they are to contact and make arrangements with another member to cover for them.

• Not part of the executive or board.

• At the end of each year, each committee submits a written report of its activities.


Guidelines Coordinator

• Ensure that there are updates done whenever needed such as a change of location, change of fees paid out for workshops;

• Ensure that the Executive and Committee members have reviewed prior to the members of the guild approving;

• This is an on going role and is part of the executive or board.


Retreat Coordinator

• Organizes annual Retreat to the Villa Madonna usually in February.


KRQ Name Tag




• You may choose your own fabrics; it is suggested you put “KRQ” on the apple and your name below, but you may customize as you wish.

• Alternatively, a nametag bearing the KRQ logo may be purchased from Bens Trophies in Fredericton.
